Overview
Cloud Retailer has reporting to help with Credit Card reconciliation through our preferred processor, Straight Up Pay. There are three different reports to look at, Straight Up Pay Reconciliation, Straight Up Pay Deposits, and Straight Up Pay Chargebacks. Using these reports will help you understand how Straight Up Pay deposits money into your account and how it can help you reconcile the deposits.
Things to know
When using Straight Up Pay, you are no longer required to batch your credit card terminals. When your account is created, by default, all credit card transactions are automatically closed at 8:05PM CST. Any transactions that happen between 8:05PM CST one day and 8:05PM CST the next day are deposited the following business day at around 3PM CST. If you would like to change the auto close time, please contact Cloud Retailer, and we will work with you to change the transaction close time. CAUTION If you decide to change your auto close time to after 8:05PM CST, deposits will be delayed for a day.
When using Store and Forward, if the transactions are processed after the cutoff time, there will be a delay in funding of those transactions only.
There are two ways that fees work with Straight Up Pay:
- The first is that most of the fees will come out BEFORE the deposit happens. If this is the way your account has been set up, on each deposit you will see a Gross Amount, Total Fees, and Net Amount per deposit. There will be at least one entry, around the 2nd of the month, that will have no gross amount, but there will be fees. These are card brand fees, they are not assessed until the 15th of the previous month. There is also a fee for your PCI Management account from Security Metrics.
- The second way is all the fees coming out once a month. With this option, all fees come out at roughly the same date each month. This will include card brand fees and PCI Management from Security Metrics.
Straight Up Pay Deposits Report
The Straight Up Pay Deposits report will show the overall deposit information for each deposit. This information is the same information you get from the reporting in Merchant Track. This report will show you the deposits from Straight Up Pay. To get to the report, do the following:
- From your back office, click on the Reports menu

- Look for Straight Up Pay Deposits in the menu, or you can type it in the search box

- Select the Straight Up Pay Deposits report

The Straight up Pay Deposits report will display your location, Deposit ID for that particular deposit, Date of the deposit, Original amount, and Fees taken out and the Funded amount. The Funded amount is the amount deposited into your account. If you elected to have the fees removed at the deposit rather than monthly, this will be different from the Original amount. The Deposit ID will be a link to the Straight Up Pay Reconciliation report in Cloud Retailer and will show all the transactions in that deposit.
Straight Up Pay Reconciliation Report
The Straight Up Pay Reconciliation report will show you the status of each individual credit card transaction. This report is designed to be easier to read than the report in Merchant Track. Use this report to determine if a transaction has been funded, has a chargeback initiated (we have another report specifically for chargebacks), or hasn't been funded yet. To get to the report do the following:
- From your back office, click on the Reports menu

- Look for Straight Up Pay Reconciliation in the menu, or you can type it in the search box

- Select the Straight Up Pay Reconciliation report

The Straight Up Pay Reconciliation report breaks down credit card transactions by Entry Mode: Chip, Contactless, Manual Entry, etc. As you expand each section, it will show you the individual transactions, with the Transaction ID (this ID is from Straight Up Pay and NOT Cloud Retailer). You can add the Transaction # to the report (this is the transaction number from Cloud Retailer). Also included in the report is the Reconciliation info column. This column will tell you the status of the transaction itself. If the transaction has been Deposited, Charged Back or nothing has happened with it. The Deposit ID is an available column that can be added, this will link back to the Straight Up Pay Deposit report.
In the example below, the first and third transaction have been deposited, while the middle transaction has yet to be funded and made part of a deposit.
Straight Up Pay Chargebacks Report
The Straight Up Pay Chargebacks Report is designed to help you fight chargebacks and notify you as soon as possible that a chargeback is coming. This report will give you the reason for the chargeback, the transaction that it is tied to in Cloud Retailer as well as the transaction number in Merchant Track. To get to this report, do the following:
- From your back office, click on the Reports menu

- Look for Straight Up Pay Chargebacks in the menu, or you can type it in the search box

- Select the Straight Up Pay Chargebacks Report

The Straight Up Pay Chargebacks Report is designed to help you fight chargebacks from customers. This will give you the amount of the charge, the fee incurred from the chargeback, the reason and type of charge back, as well as the Transaction ID (this is the transaction in Merchant Track) and the Transaction # (this is the transaction in Cloud Retailer). The Transaction # column is a link to the receipt for that transaction.
