Overview

This screen allows for defining the properties of an Inventory Count and for performing common operations and follow-up tasks.


NOTE: This page has been updated in version 4.6 (and newer) of Cloud Retailer.  Older versions may not reflect all of the fields below.


Screen Layout

Inventory Count Properties

Fields

  • Reference number: A unique name or identifier for the Inventory Count.
  • Location: The Location that contains the inventory to be counted.  This file will be hidden for single-location customers.
  • Status: The current condition of the Inventory Count. 
    • Inactive: Indicates the count has been deleted and is not active.
    • Finalized: Indicates the count has been committed and can no longer be edited.
    • Finalize In Progress: Indicates that the finalization process has been started and the calculations are being performed now. The count can no longer be edited.
    • New: Indicates the count has not yet been saved.
    • Open: Indicates the count can continue to be modified or deleted.
  • Is active: Indicates whether this Inventory Count is available or has been deleted.
  • Notes: Additional notes about the Inventory Count.
  • Inventory count type: The type of count that is to be performed.Spot check: A quick count with no list and you scan whatever you'd like.
    • Quick adjust - Entire store: A count for all products in a location that allows you to quickly edit quantities.
    • Quick adjust - Custom filter: A count that only includes products matching a given filter and allows you to quickly edit quantities.
    • Complete audit - Entire store: A thorough count of all products in a location.
    • Complete audit - Custom filter: A thorough count for products matching a given filter.
    • Inventory Check-In: Allows you to tell the system you have some of these products on hand without performing a full inventory count.
  • Allow products that do not match the custom filter

Defines the products that should be included within this Inventory Count.


Default Properties

  • Sorted by Description

Columns

  • Product code: The UPC or Primary Product Code for the Product.
  • Description: The description of the Product.
  • Size: The Size of the Product.
  • Department: The name of the Department the Product is a member of.
  • Category: The name of the Category the Product is a member of.
  • Quantity on hand: The current quantity of the Product at the selected Location.
  • Is active: Indicates whether the Product is currently active.
  • Quantity committed: The current quantity of the Product committed to fulfilling orders at the selected Location.
  • Id: An internal identifier used by the system.  This column is hidden by default.
  • All product codes: A list of all Product Codes associated with this Product.  This column is hidden by default.
  • Tags: A list of all Tags associated with this Product.  This column is hidden by default.
  • Sub category: The name of the Sub category the Product is a member of.  This column is hidden by default.
  • Suppliers: A list of all Suppliers associated with this Product.  This column is hidden by default.


Action Buttons

  • Finalize Inventory: Complete the counting process and commit adjustments to your inventory.  No further editing or counting will be possible.  This button will only be visible if the Inventory Count has been saved (at least once) and will be disabled if the Inventory Count has been Finalized.
  • Start/Continue Counting Products: Start or continue scanning and counting products. This button will only be visible if the Inventory count type is Spot check, Complete audit - Entire store, or Complete audit - custom filter, the Inventory Count has been saved (at least once) and the Inventory count has not been Finalized.
  • View Product Count History: View the count history.  This button will only be visible if the Inventory count type is Spot check, Complete audit - Entire store, or Complete audit - custom filter, the Inventory Count has been saved (at least once) and the Inventory count has been Finalized.
  • Adjust Counted Products: Update the quantity counted values for the Quick Adjust.  This button will only be visible if the Inventory count type is Quick adjust - Entire store or Quick adjust - custom filter, the Inventory Count has been saved (at least once) and the Inventory count has not been Finalized.
  • View Product Adjustments: View the count details. This button will only be visible if the Inventory count type is Quick adjust - Entire store or Quick adjust - custom filter, the Inventory Count has been saved (at least once) and the Inventory count has been Finalized.
  • Check-in Products: Start checking in products. This button will only be visible if the Inventory count type is Inventory check-in, the Inventory Count has been saved (at least once) and the Inventory count has not been Finalized. 
  • View Product check-in History: View the check-in details. This button will only be visible if the Inventory count type is Inventory check-in, the Inventory Count has been saved (at least once) and the Inventory count has been Finalized. 
  • Cancel: Cancels any changes to the Inventory Count without saving and closes the screen.
  • Save: Saves any opening changes for the Inventory Count.
  • Save and close: Saves any opening changes for the Inventory Count and then closes the screen.
  • Save and new: Saves any opening changes for the Inventory Count and then opens a new Inventory Count screen.
  • Save and duplicate: Saves any opening changes for the Inventory Count and then opens a new Inventory Count screen with properties copied from the current Inventory Count.


Inventory Count Results

Fields

  • Unique products expected: The number of unique products that match the Inventory count type and/or Custom filter.
  • Unique products counted: The number of unique products that have had at least one (1) count entry made. (someone has counted the product)
  • % products counted: The percentage of the unique products that have had at least one (1) count entry made. (someone has counted the product)
  • Unique products over: The number of unique products where the Quantity counted is greater than the Quantity expected.
  • Total quantity over: The sum of the Quantity variance for all products that have a Quantity counted greater than the Quantity expected.
  • Unique products under: The number of unique products where the Quantity counted is less than the Quantity expected.
  • Total quantity under: The sum of the Quantity variance for all products that have a Quantity counted less than the Quantity expected.


Next Steps Action Links

These links can be used to access reports tied closely with Inventory management that will help you take actions based on completed Inventory Counts.

  • View the Counted Inventory Value report for this count: Show a report with the valuation of your counted product. This button will only be visible if the Inventory count type is not Inventory check-in.
  • View the Quantity Variance report for this count: Show a report highlighting the discrepancies between what was expected and what was actually counted. This button will only be visible if the Inventory count type is not Inventory check-in and the Inventory count has been Finalized.
  • View Products not in stock but recently sold: Show a report that highlights products that you no longer have in stock but have been selling within the last month. This button will only be visible if the Inventory count type is not Inventory check-in and the Inventory count has been Finalized.
  • View Products in stock but not recently sold: Show a report that highlights products that you have on hand but have not been sold in more than 90 days. This button will only be visible if the Inventory count type is not Inventory check-in and the Inventory count has been Finalized.
  • View Products that were not checked in but recently sold: Show a report that highlights products that you have not checked in but have been selling within the last month. This button will only be visible if the Inventory count type is Inventory check-in.
  • View Products that were checked in but not recently sold: Show a report that highlights products that you have checked in but have not been sold in more than 90 days. This button will only be visible if the Inventory count type is Inventory check-in.


Results Grid

Gives a filtered view of the Products that have been counted so far.


Default Properties

  • Filtered on Quantity variance not equals 0
  • Sorted by Product code


Columns

  • Product code: The UPC or Primary Product Code for the Product.
  • Description: The description of the Product.
  • Size: The size of the Product.
  • Quantity counted: The total of all count entries for the Product.
  • Quantity expected: The current Quantity at this location.
  • Quantity variance: The difference between the Quantity expected and the quantity counted.
    • The background of this column will be Yellow if the value is 0.
    • The background of this column will be Green if the value is greater than 0.
    • The background of this column will be Red if the value is less than 0.
  • Count time: The date and time the Product was last counted.


Inventory Count Import

Fields

Inventory Count Import (drop target): Provides a place to drag and drop Inventory Count files for uploading.  This control can also be clicked on to open an Open file window to search for a file on your computer.
